Terms of Service

These Terms of Service ("Terms") govern your use of the VidyaHub school management platform ("Service") operated by VidyaHub AI ("we", "us"). By creating an account or using the Service, you agree to these Terms.

1. Eligibility and account responsibilities

The Service is provided to recognised educational institutions in India and their authorised personnel (school owners, administrators, teachers, students, and parents). When a school administrator creates an organisation account on the Service, that administrator represents that they are authorised by the institution to do so.

You are responsible for keeping your login credentials confidential and for all activity that occurs under your account.

2. Description of the Service

VidyaHub provides cloud-hosted tools for student records, staff and payroll management, fee collection (including online payment gateway integration), attendance, examinations, timetabling, communications, document management, and certificate issuance. The exact feature set available to your account depends on your role and your institution's subscription.

3. Acceptable use

You agree not to:

• upload data you do not have the legal right to share;
• attempt to access another organisation's data;
• reverse-engineer, scrape, or attempt to bypass the Service's access controls;
• use the Service to send unlawful, harassing, or unsolicited communications;
• use the Service in a way that violates the Digital Personal Data Protection Act, 2023 ("DPDP Act") or any other applicable Indian law.

4. Data and privacy

Our handling of personal data is governed by the Privacy Policy, which forms part of these Terms. By using the Service you also acknowledge that policy.

5. Fees and payment

Where your institution has agreed a paid subscription, fees are payable as set out in the order form between VidyaHub AI and your institution. Online payment-gateway charges levied by Razorpay, Cashfree, or PhonePe (when used by your school to collect fees from parents) are passed through and may attract their own gateway fees outside our control.

6. Service availability

We aim to keep the Service available but make no guarantee of uninterrupted operation. Planned maintenance will be communicated where practical; unplanned outages are addressed on a best-effort basis.

7. No warranties; limitation of liability

The Service is provided on an "as is" and "as available" basis. To the fullest extent permitted by law, our aggregate liability to you in connection with the Service is limited to the fees paid by your institution to us in the twelve (12) months preceding the event giving rise to the claim. We are not liable for indirect, incidental, or consequential losses.

8. Termination

You may stop using the Service at any time. We may suspend or terminate access for breach of these Terms or for legal or security reasons, with reasonable notice where practical. On termination, your institution may request export or deletion of its data subject to the Privacy Policy and applicable law.

9. Changes to these Terms

We may update these Terms from time to time. Material changes will be communicated through the Service and will require renewed consent before continued use. The version and effective date at the top of this page identify the currently active text; superseded versions are retained for audit.

10. Governing law and jurisdiction

These Terms are governed by the laws of India. Disputes are subject to the exclusive jurisdiction of the courts at Hyderabad, Telangana.
